POSITION SUMMARY: The Administrative Assistant of LifeTalk Radio assists the Manager/Director in office duties, providing Station Relations to our owned and affiliate stations, fulfilling listener requests, assisting with some areas of Public Relations & Marketing, and providing support and completion of various projects as needed by the ministry.

 

AUTHORITY & ACCOUNTABILITY: Authority as delegated by the LTR Manager/Director and directly responsible to the LTR Manager/Director

 

ESSENTIAL POSITION FUNCTIONS:

  • Report directly to the Manager/Director
  • Answer and process incoming phone calls to LifeTalk Radio
  • Respond to routine and/or non-routine inquiries using already developed standardized formats
  • Check and respond to work email account, including emails coming into LTR’s Office account ([email protected]) and Info account ([email protected]), and forward emails that need to be handled by different staff
  • Forward names and addresses of new listeners to staff in the Gift Receipting department (Greenback, TN)
  • Maintain a well-organized and efficient filing system
  • Update & maintain LTR Master Calendar: Meetings, Campmeetings, Conventions, FCC License Renewals, International Pathfinder Camporees, Holidays, etc.)
  • LTR Executive Committee Meetings: Send out invitations to meetings, along with Agenda and supporting documents from Manager/Director to committee members. Also serve as the recording secretary by taking minutes, then preparing minutes for distribution to LTR Executive members after each meeting
  • Conflict of Interest Statement – Collect and Maintain COI’s from our LTR Executive Committee Members for GCAS Auditors
  • Update and maintain LTR Station & Affiliate Directory
  • Create & email quarterly Issues & Programs Reports to full power station affiliates
  • Create and send resource material to new LPFM & Full Power station affiliates
  • Make sure new station affiliates are added to station listing on LTR’s website
  • Create and maintain file of people interested in starting a radio station for their community. Notify them when there is a new application window opened by the FCC for new stations (Consult with Don Martin, broadcast attorney).  Also forward information on opportunities to purchase a radio station.
  • Update annual Broadcast Ministries Report and email to Valerie Robbins at NAD for GC statistics report
  • In consultation with Marketing Director, send out promotional information about LifeTalk Radio to ALL conference communication directors across NAD. Also arranging for promotional Ads to be placed in our Union & Conference papers.
  • Perform editing tasks as needed
  • Provide materials and support for various public relations and marketing efforts
  • Assist in posting ministry articles on LTR’s website
  • Process your Workers Expense Report as needed
  • Exercise confidentiality at all times
  • Fulfill other responsibilities and duties as assigned by the Manager/Director

 

POSITION SPECIFICATIONS:

 

1. QUALIFICATIONS, SCOPE, & COMPLEXITY OF DUTIES:

  • Education: Bachelor’s Degree from an accredited college or university, and/or:
  • Experience: Equivalent Experience
  • Skills, scope, and complexity of duties:
    • Experienced computer and internet skills
    • Knowledge of various software programs for completing duties
    • Exceptional organizational ability and attention to detail
    • Ability to exercise independent judgment, make decisions, and assume responsibility within the essential and specific position functions
    • Ability to competently compose letters and documents
    • Good personal relationship skills with the ability to communicate effectively with people and organizations at all levels.
    • Flexibility to adapt to urgent projects of unusual situations

 

2. INTERPERSONAL RELATIONSHIPS:

  • Within Ministry:
    • Manager/Director
    • LifeTalk Radio field staff representatives
    • Support services personnel
  • Outside Ministry:
    • Station Affiliates, listeners, and contract engineers
    • NAD officers and personnel, including Unions and Conferences
  • Principal Contact: Manager/Director

 

3. WORKING CONDITIONS:

  • General working conditions of a home office
  • Infrequent need for travel
  • Physical requirements: requires time at a computer or at desk, with minimal standing, walking, reaching, climbing, and lifting (maximum of 50 lbs.)
  • Statistics:
    • 19 regular hours per week,
    • Hours can be flexible and generally not require weekend work
    • Office clothing is required for ministry functions such as: meetings, conventions, etc…
